Tour cancellation regulations
1. Cancellation by Let’s Fly Travel:
If Let’s Fly Travel cannot carry out the scheduled trip, we will notify the customer immediately and refund the full amount paid within one week from the date of the cancellation notice, via cash or bank transfer.
2. Cancellation by Customer:
2.1 For Domestic Travelers:
2.1.1 During Holidays, Tet, and Major Events:
– If a customer cancels immediately after booking and notifies Let’s Fly Travel, the following rules apply:
Daily Tour:
– Cancellation more than 7 days before the tour date incurs a 40% tour fee penalty; airline or train ticket fees will follow the transport provider’s regulations.
– Cancellation 3 days before the tour incurs an 80% penalty; transport ticket fees apply.
– Cancellation 2 days before the tour incurs a 100% penalty; transport ticket fees apply.
Multi-Day Tour:
– Cancellation more than 14 days before the tour date incurs a 40% penalty; transport ticket fees apply.
– Cancellation more than 7 days before the tour date incurs an 80% penalty; transport ticket fees apply.
– Cancellation 3 days before the tour incurs a 100% penalty; transport ticket fees apply.
– If customers wish to change the tour date, Let’s Fly Travel will make every effort to accommodate, free of charge. However, if the trip involves airline or train tickets, rescheduling is subject to the transport provider’s policies.
– For cancellations within 3 days of departure, no-show, or late arrival, a 100% penalty on the tour price will apply.
2.1.2 Regular Days:
– If a customer cancels due to illness, family emergencies, or other unforeseen issues and provides supporting documents, Let’s Fly Travel will negotiate with partners to secure the maximum possible refund. If another customer can take over the trip, Let’s Fly Travel will work to minimize cancellation costs.
Daily Tour:
– Full refund if canceled at least 24 hours before the tour date.
– No refund for cancellations made less than 24 hours before the tour date.
Multi-Day Tour:
– Full refund if canceled at least 10 days before the tour date.
– No refund for cancellations made less than 10 days before the tour date.
– For date changes, Let’s Fly Travel will strive to accommodate customers free of charge, but airline or train ticket changes are subject to the transport provider’s policies.
– Cancellations within 2 days of departure, no-show, or late arrival result in a 100% penalty on the tour price.
2.1.3 Refund Processing Post-Cancellation:
Customers may collect their refund within 30 days by providing bank details for a transfer, with transfer fees covered by the customer.
2.1.4 Online Booking Cancellations:
Refunds and cancellations for tours booked via letsflytravel.vn or letsflytravel.com follow these policies, with customers responsible for any bank fees.
2.1.5 Force Majeure Events:
If the tour is canceled or altered due to force majeure (fire, weather, accidents, natural disasters, war), both parties are released from liability. However, each party should help the other reduce any losses caused by these circumstances.
2.2 For International Travelers:
2.2.1 During Holidays, Tet, and Major Events:
– If the customer cancels due to illness, family emergencies, or other reasons, they must provide relevant documents and notify Let’s Fly Travel immediately. Let’s Fly Travel will negotiate with service providers to secure the maximum possible refund.
Daily Tour:
– Cancellation over 20 business days before the tour date incurs a 100% deposit penalty.
– Cancellation 7–19 days before the tour incurs a 50% penalty.
– Cancellation 4–6 days before the tour incurs an 80% penalty.
– Cancellation 2–3 days before the tour incurs a 100% penalty.
Multi-Day Tour:
– Cancellation over 30 business days before the tour incurs a 100% deposit penalty.
– Cancellation 15–29 days before the tour incurs a 50% penalty.
– Cancellation 10–14 days before the tour incurs an 80% penalty.
– Cancellation 4–9 days before the tour incurs a 90% penalty.
– Cancellation 2–3 days before the tour incurs a 100% penalty.
– For date changes, Let’s Fly Travel will make every effort to accommodate. However, for changes involving airline or train tickets, provider policies apply.
– Self-initiated cancellations within 3 days of departure, no-show, or late arrival result in a 100% penalty.
2.2.2 Regular Days:
Daily Tour:
– Full refund if canceled at least 2 days before departure.
– No refund if canceled less than 2 days before departure.
Multi-Day Tour:
– Full refund if canceled at least 15 days before departure.
– No refund if canceled less than 15 days before departure.
– For date changes, Let’s Fly Travel will strive to accommodate, subject to provider policies. Customers wishing to switch to a different tour package must notify Let’s Fly Travel 10 days prior and will incur a 20% fee.
Important Notes:
– Cancellations due to natural disasters, epidemics, or transport delays beyond control result only in tour refunds, with no further compensation.
– Due to the complexities of visa processing, these policies do not apply for tours to Europe, Australia, the USA, Russia, Japan, South Korea, Egypt, or South Africa, where special conditions apply.
3. Child Tour Prices:
– Children under 1 meter: Free (shared meals and bed with parents). Two adults may accompany one child under 5; additional children incur a 50% tour fee.
– Children 1m–1.3m: Pay child price (shared bed with parents). Two adults may accompany one child; additional children will need a single bed at full price.
– Children over 1.3 meters: Full adult price.
– Air, train, and other public transportation tickets follow the provider’s child fare policies.
